Who Greek-admin oversight is for

Property administration in Greece is what catches absentee owners off-guard the fastest. The work itself is mostly routine — reading bills, attending a meeting, filing a form — but every step depends on three things diaspora and international owners often lack: physical presence in Greece, fluency in Greek, and continuous availability during Greek business hours. Without those, what should be ten minutes of attention turns into a missed deadline, an unpaid bill that escalates to a service shutoff, a building meeting where decisions get made about your apartment with you absent, and an insurance policy that quietly lapses for non-payment.

This service exists for owners who have crossed the threshold from "I'll deal with the post when I'm next there" to "the post is six months old and there's a building notice in there that mentioned a vote two months ago." If that sentence resonates, you are in our core audience.

Who this is not for

We are not lawyers, accountants or tax advisers. We do not file your tax returns. We do not give legal advice on inheritance disputes. We do not negotiate with banks on your behalf. What we do is the administrative connective tissue around your licensed professionals — we receive their requests, gather what they need from the property, get it to them in usable form, and confirm action was taken. If you don't yet have a Greek accountant or lawyer, we can introduce you to vetted professionals; if you already do, we work alongside them.

What full admin oversight actually covers

Across a typical 12-month period, an Estia member with admin oversight has the following handled for them:

  • Mail and notices. All physical post collected, sorted, photographed and forwarded by email weekly. Greek-language notices translated to plain English with a recommendation on what (if anything) requires your action.
  • Utility bills. Electricity (ΔΕΗ, Protergia, Heron, Watt+Volt, NRG), water (ΕΥΔΑΠ in Athens, ΕΥΑΘ in Thessaloniki, local utilities elsewhere), gas (where applicable), internet, and condo dues. Direct debit set up where possible; manual payment where not. Anomalies flagged before they're paid.
  • Property tax (ENFIA). Annual ENFIA notice received via TAXISnet, verified against your E9 record, payment scheduled across the installment cycle. Discrepancies flagged for your accountant.
  • Building meetings. Attendance on your behalf at the annual γενική συνέλευση and any extraordinary meetings. Voting in line with written instructions you provide in advance. Translated minutes within 48 hours.
  • Building manager liaison. Routine contact with the διαχειριστής for common-area repairs, monthly κοινόχρηστα accounting, and ad-hoc building issues affecting your apartment.
  • Insurance renewals. Annual renewal scheduling, coverage review against current property condition, claims coordination when needed. We don't sell insurance — we make sure yours is current and adequate.
  • Accountant liaison. Document handover to your Greek accountant ahead of E1, E2, and E9 filings. Confirmation of submission. Annual file kept in your member portfolio.
  • Tax office (ΔΟΥ) routine matters. Address changes, ΑΦΜ administrative updates, certificates that need physical retrieval.

The compounding problem of deferred admin

The reason this service exists at all is that small administrative omissions compound. A missed building-meeting vote affects what gets done to the building for a year. A direct debit that silently fails on a utility bill produces a service shutoff that costs €120-€300 to restore. An ENFIA payment overlooked produces interest charges (currently around 8.7% per annum in Greece). An insurance policy lapsed for one month, in the wrong month, can wipe out €18,000 of damage payable if a claim incident happens.

The recurring pattern across owners we've onboarded: a year of deferred admin produces somewhere between €500 and €4,000 of unnecessary cost. Five years of deferred admin starts to materially erode the asset case for owning the property in the first place. This service is the cheapest insurance against that compounding cost — for most members, a tiny fraction of what unaddressed admin would have cost over the same period.

How the admin process runs through the year

  1. Onboarding. We collect: utility-bill account numbers, building-manager contact, accountant contact, insurance policy details, TAXISnet credentials (or arrangement to access via your accountant), the postal address used by the property, and a written power-of-attorney (limited) where required for representation.
  2. Monthly cycle. Bills checked and paid. Mail collected and processed. Anything unusual flagged within 48 hours.
  3. Quarterly summary. A short written summary of what was paid, what was filed, what's open, what's coming. Sent the first week of January, April, July, October.
  4. Annual cycle. Building meeting attended (typically March-May). E1/E2/E9 documents prepared for handover to your accountant by mid-April. ENFIA notice processed September-October. Insurance renewals timed to coverage anniversary.
  5. Year-end report. A clean annual file with everything from the year — bills paid, meetings attended, repairs documented, taxes filed. Filed in your portfolio and available for as long as you remain a member.

Bills, building meetings & Greek admin is included in the Recommended (€149/mo) and Premium (€249/mo) plans. Essential plan members (€99/mo) get a lighter touch — basic bill monitoring and mail handling — without full building-meeting representation or accountant liaison. For owners with several properties under one ownership, custom plans are available.

Frequently asked questions

Do you have power-of-attorney over my account?

Only the narrow administrative power-of-attorney we need to attend building meetings on your behalf and to receive correspondence on your behalf. We do not have access to your bank accounts. Utility payments are set up under your name with direct debit from your account, or — when that's not workable — paid by us and reimbursed in your monthly invoice with the original receipt attached.

Can you attend the building meeting and vote against my upstairs neighbour's renovation?

We will vote exactly as you instruct, in writing, in advance. We can give you our read on what's at stake before the meeting and what the implications of each vote are. We don't form independent positions on your behalf. The vote is yours; we are the proxy.

I haven't seen my utility bills in two years. Can you sort that out?

Probably yes. The most common situation is that bills are being sent to an outdated postal address (often a relative's house in Greece) and a slow accumulation has built up. We retrieve the back-files, check what's owed and what's already paid, set up the correct delivery, and produce a clean restart. There may be late-payment interest to settle. We report what we find and you decide how to proceed.

Will you deal with my Greek accountant directly?

Yes — that's a core part of the service. Most members find that the accountant prefers dealing with us because we hand over clean, organised documentation in the format the accountant needs, rather than dribs of paper sent over months by an overseas owner.

What happens if you can't reach me about an urgent admin issue?

We have a documented escalation policy in your onboarding: primary email, primary phone (WhatsApp), secondary contact (a family member or your accountant, with your written authorisation). Genuine urgencies — bailiff notices, lawsuit letters, tax-office formal demands — get the secondary contact within hours if the primary doesn't respond within 12 hours.

Is the building meeting always in Greek?

Yes. Building meetings in Greece are conducted entirely in Greek, regardless of who attends. We attend, listen, vote per your instructions, and translate the minutes back to you. Many owners come away from joining the service feeling they finally understand what's been decided about their building for the first time in years.
